Payroll & Benefits Specialist

POSITION SUMMARY:
The Payroll & Benefits Associate is a key function within the Finance Department and works to support the overall payroll administration at The Rep.
Payroll processing
- All salary/hourly employees + unions: AEA, IATSE, LOCAL 420
- Set up separate earnings and deductions per employee (parking, insurance, disability, 403b, bonuses, retro pay dependent care, H.S.A, etc.)
- Run weekly and monthly payroll reports
- Weekly check register and payroll summary reports for company files
- Biweekly reports for Diversified Benefits
- Monthly reports for Local 420, IATSE and department reconciliations
- Set up separate earnings and deductions per employee (parking, insurance, disability, 403 b, bonuses, retro pay dependent care, H.S.A, etc.)
New Hires
- Set up new hires in Paylocity onboarding (including AEA actors)
- Find new hire contract information and send onboarding links and paperwork
- Move employees from onboarding to HR & Payroll and set up employee profile accordingly to LOA/New Hire Form/AEA Contract
- Verify I9 documents on first day of work/rehearsal
Health and disability insurance processing and reporting
- Distribute enrollment forms to new employees (or all employees during open enrollment)
- Forms include: Rep enrollment form, Humana Application, H.S.A activation and Guardian Application, TIAA
- Manually enter employee information in the benefit systems
- Download and reconcile monthly bills from Guardian and Humana
- Download health & wellness monthly reports for employee contribution credits
Transportation Plan and Dependent Care processing
- Keep track of employee enrollments/closings and reconcile monthly bills
Reconcile and transmit
- Monthly (Employee) and quarterly (Employer) 403(b) & 457(b) deposit online
- Payroll related balance sheet accounts
Manage contractor LOAs and equity contracts
- Receive contractor LOAs/AEA contracts from GM
- Contact contractors and AEA members for paperwork
- Keep track of contractors scheduled payments according to contract terms
- Process show benefit payments for USA/PW union contractors (for opening night)
- Reconcile weekly equity payroll and send reports to equity finance every week
- Process agent commission payments to Accounts Payable
Other duties
- Prepare quarterly payments to UPAF/United Way based on payroll deductions
- Process monthly Central Pension Fund reports for Engineers (Local 420)
- Manage and process reports from Unemployment: verification of earnings, employment status, etc.
- Perform other duties, special projects, and research as assigned
REQUIREMENTS OF THE POSITION:
Technical Knowledge and Experience:
- Associate's Degree with concentration in Accounting, Business Administration, or related field
- Two of more years of relevant experience
- Excel proficiency
- Experience with payroll software, Paylocity a plus
- Excellent organizational and time management skills
- High level of accuracy and acute attention to detail
COVID Policy
- Milwaukee Rep has a mandated vaccine policy and requires all employees to submit proof of vaccination for COVID-19 OR documentation for a medical or religious exemption before the first day of work
Additional Requirements:
- A willingness to commit to the mission, vision, and values of the theater
- A valid U.S Drivers License and access to a personal vehicle is necessary
- Must be able to work some evenings and weekends, on occasion
- Physical requirements include: Carrying, loading/unloading display materials and swag to events on and off site and communicating in person and on the telephone. This position semi-frequently lifts, carries, or otherwise moves and positions objects weighing up to 25 pounds unassisted.
