Position Summary:
The Public Affairs Assistant provides administrative and process support to the department in a shared resources capacity. This position uses functional knowledge and understanding of department operations and organization procedures to assist in various PA processes including administrative support, community outreach, representation at and planning of special events. This position will also support Range's local government department.

  • Support the development and execution of the community relations and public education strategies by representing Range at community and other special events and programs.
  • Participate in the planning and preparation for various community events such as educational trade shows, luncheons, receptions, fundraisers etc.
  • Assist in developing an internal network for staffing community events (parades, fairs, etc.), as well as, potential volunteer projects.
  • Assist in providing timely responses to inquiries from community leaders, local organizations and other stakeholder organizations.
  • Support the charitable contributions process by reviewing and processing invoices, cutting donation checks and providing other support as needed.
  • Assist in the coordination of field tours for interested stakeholders and potential investors by coordinating logistics such as transportation, equipment needs and guest accommodations.
  • Maintain a filing system for the confidential storage and retrieval of internal/external correspondence, records, reports and documents. Responsible for auditing files and correcting discrepancies by collaborating with staff.
  • Troubleshoots issues with system software and all other forms of tracking data.
  • Develop processes to streamline department activity and increase communication to aid the efficiency of operations.
  • Performs an analysis on the department's processes and usage of supplies. Determine the most cost-effective and efficient way to run operations. Information may be reviewed annually in relation to the budget.
  • Responsible for coordinating departmental training requirements, including ordering food and transportation.
  • Perform a variety of administrative duties such as composing correspondence and proposals, coding invoices and work orders for manager approval, book travel arrangements and create itineraries, schedule conference rooms, and calendar administration.
  • Performs a variety of clerical duties such as answering a multi-line telephone, sorting mail, and maintaining office supplies. Will create memos, data entry, copying, faxing, and meeting preparation.
  • Develop flyers, posters, invitations, track RSVPs, take inventory of supply closet and FR room, shipping of donated items, ordering of logo items for giveaways.
  • Assist the legal department in administrative responsibilities such as booking conference rooms, ordering food and coordinating in-house meetings.
  • Other duties, special projects and responsibilities as assigned

Minimum Education: High School Diploma or GED

Minimum Experience: 0-2 years administrative support experience OR Bachelor's degree in a related, relevant field

Skills: Basic knowledge of business administration and community outreach processes and procedures; interpersonal and customer service skills; ability to work with a diverse audience, articulate complex concepts in digestible terms, project management and multitasking skills. Proficient command of grammar, punctuation, spelling, and correct usage of the English language, project management. Computer skills including experience with PowerPoint & Canva is preferred.

Equipment/Machinery: Canva, Microsoft Office, Microsoft Forms, Google Docs, Franking or postage machines, Scanners/Printers, Desktop computer, Company specific software, Photocopiers

Working Conditions: Climate controlled office environment; Occasional outdoor events in spring, summer and fall.
