Position Overview:

The senior associate supports the work of the legal affairs department in a variety of tasks related to furthering compliance with legal requirements applicable to a global nonprofit corporation and public charity. The primary responsibilities are: 1) researching and preparing materials for legal and regulatory filings, including state and international business registrations, charitable solicitation registrations, and tax exemptions; 2) performing research on issues related to the establishment, maintenance and termination of Pew's foreign offices; 3) supporting and facilitating the development of board and board committee materials; 4) supporting the management of Pew's trademark portfolio; 5) serving as a system administrator and subject matter expert in the department's document management system; 6) supporting legal affairs' role in the development and review of institutional policies and the execution Pew's conflict of interest review process; 7) supporting the organization's due diligence processes; and 8) providing other assistance to the department as needed.

The ideal candidate must have a strong legal and project management background and should be adept at working both independently and with cross-organizational teams.

This position reports to the Director, Legal Affairs and Senior Counsel and will be based in Pew's Washington, DC office.

Responsibilities:

  • Research and prepare materials to comply with state requirements for registering to do business and solicit charitable contributions, and for obtaining and maintaining state sales tax exemptions, for Pew and Pew Research Center. Maintain the database of states where Pew is registered to do business and file annual reports.
  • Collaborate with the Senior Officer, Legal Affairs on the review and processing of state charitable and business registration forms.
  • Support the Senior Officer, Legal Affairs, by performing research on issues related to the establishment, maintenance, and closing of international offices abroad.
  • Support legal affairs' role in reviewing conflict of interest disclosures for new hires and current staff. Maintain and update conflict of interest database and collaborate with other department members on the annual conflict of interest survey.
  • Facilitate the review of board materials submitted for legal review; create templates for legal materials provided to the board; submit legal documents for the board.
  • Assist with the management of Pew's trademark portfolio, maintaining inventory of registrations and keeping current the docket of filing deadlines. Serve as point of contact for Pew's trademark and domain name watch services, promptly routing notifications internally for review and resolution.
  • Support the organization's due diligence processes and practices.
  • Serve as a subject matter expert and act as system administrator for the department's document management program.
  • Update and maintain Pew's document retention chart.
  • Perform legal and factual research in response to requests from department colleagues and clients.
  • Project manage department projects as assigned.
  • Participate in activities and meetings and perform other tasks as assigned, including, for example, serving on departmental or organization-wide committees.
  • Perform other tasks and special projects as assigned.
  • Attend professional development seminars and continuing professional education training to increase knowledge and remain properly informed of legal and regulatory issues.


Requirements:

  • Bachelor's degree required or equivalent experience required.
  • A minimum of four years of experience, including two years of relevant paralegal experience.
  • Tax-exempt organization experience, law firm background and/or in-house experience at a public charity or private foundation preferred.
  • Strong research skills, including proficiency with LexisNexis.
  • Strong project management and organizational skills, ability to set priorities, organize time and identify resources for projects.
  • Superior verbal and written communications skills including proofreading and editing, and ability to express oneself concisely.
  • Keen attention to detail. Monitors and double checks work and information for accuracy and quality. Ability to pay close attention to detail without losing sight of the bigger picture.
  • Strong client service skills and the ability to identify problems which require resolution and provide a range of solutions.
